FUDA | Monday (09/25/2023) - As an effort to realize the importance of archives for village communities to encourage increased accountability of village development and save village memory, Lecturers and Students of the Islamic Library and Information Science Study Program (IPII), Faculty of Ushuluddin and Adab, UIN Sultan Maulana Hasanuddin Banten carried out Community Service activities in the form of Archives Enter the Village Program Seminar activities with the theme “Implementation of the Archives Enter the Village Program, Case Studies of Villages and Villages in Serang City and Serang Regency Banten Province” which was held on Monday, September 25, 2023.
The Head of the IPII Study Program, Hadian Rizani, S.S., M.Hum. said in his remarks that the implementation of the Community Service seminar on the Archives Enter the Village Program has the main reason related to the urgency in supporting the Tridharma of higher education, one of the Tridharma elements is Community Service. The vision and mission of this activity is solely to improve the understanding and practice of good archive management at the village level.
“So, the main purpose of the archive program seminar is actually to increase the knowledge and capacity of village officials in managing their archives and supporting the development and maintenance of the village as a whole.” explained Hadian Rizani.
Meanwhile, Bid. Head of Finance of Citerep Village, Tedi Cahyadi explained, in facing globalization and supporting the realization of state administration, especially village or kelurahan level government. This activity is an opportunity to improve the quality of public services. So, in organizing government archives, it must be carried out in a comprehensive and integrated archiving system, starting from the village.
“The Ministry of Villages will continue to assist and participate in any further community service programs carried out by UIN Sultan Maulana Hasanuddin Banten,” said Tedi.
The seminar, which was hosted by the Secretary of the Islamic Library and Information Science Study Program, Verry Mardiyanto, M.A., presented a resource person Ursa Agniya (Quality Control Group of IPII Study Program). The speaker conveyed many things related to archives, including small things that can damage archives.
“A simple example of vital archives such as diplomas, KKs should not be recommended for laminating, but what needs to be pursued is lamination activities because laminating and lamination are two different things”. Bright, Ursa Aghniya.
“It turns out that laminating can damage personal documents.” he continued.
“Archives are a legitimate tool of legal power! So encapsulation is a simple method to replace laminating,” said Ursa Agniya.
The recommendations resulting from the Archives in the Village Program seminar include:
- Archives are records of activities or events in various forms and media in accordance with the development of information and communication technology made and received by state institutions, local governments, educational institutions, companies, political organizations, community organizations, and individuals in the implementation of social, national and state life.
- The government, through the National Archives of Indonesia, has issued ANRI Head Regulation No. 14 of 2009 on Guidelines for the Management of Village Government Archives. Although this regulation has been socialized at the village government level, it cannot be denied that many village government officials and even the general public do not really understand archive management according to the correct rules.
- Encapsulation is a simple way or method to maintain archives by using protective materials to prevent archives from physical damage, or a technique to protect archives from external influences by pinning a sheet of archive with polyester plastic on both sides with the help of double tape.
Then, a question and answer session followed and there were 3 questioners from village officials as participants in the activity.
Thus, with the existence of Community Service activities, through the Seminar on Archives in the Village Program, it is hoped that it can bridge the process of an increasingly effective village archive management system.
